Managing Your Team

Team Management lets you invite colleagues into your portfolio and control what they can see and do. This is essential for security and operational clarity.

How to invite staff

Open Team Management

Navigate to Team Management from the management dashboard or sidebar.

Click Invite

Enter the staff member’s email address.

Assign a sub-role

Choose Portfolio Admin, Property Manager, or Finance Manager based on their responsibilities.

Send the invitation

The user receives an email with a link to join your portfolio.

Monitor status

The Team Management list shows who has accepted, who is pending, and who has access.

Managing access

  • Change sub-roles: Update a team member’s role if their responsibilities change
  • Remove access: Deactivate or remove staff who leave your organisation
  • Review regularly: Audit the team list quarterly to ensure only current staff have access

Building-scoped vs portfolio-scoped

Most management company operations are building-scoped, meaning the user must select a building before working on issues, finances, or communications. Portfolio admins can also access portfolio-wide settings and reporting.

Demo mode

If you are evaluating the platform, demo mode lets you switch between sub-role views to see what each role type sees:
  1. Toggle demo view from the dashboard header
  2. Switch between Portfolio Admin, Property Manager, and Finance Manager
  3. Explore how access changes for each role

Tips

Use allowed domains

Restrict sign-ups to your company email domain for extra security

Assign by responsibility

Do not give portfolio admin access to day-to-day managers unless needed

Remove promptly

Deactivate departing staff immediately to maintain security

Review quarterly

Regular audits prevent old accounts from lingering with access
